In short

We only collect the details you send us in our forms, and we use them to reply to you, quote, deliver and keep our business records. We do not sell your details or send unrelated marketing. Payment receipts, quotations and contracts are visible only to you (through your private link) and to our signed-in staff.

1. Who we are

This website is run by Abdullah Shah Umar Building Materials Trading LLC ("ASU Trading", "we", "us"), a building materials trading company based in Sharjah, United Arab Emirates. For any question about this policy or your details, contact us at info@asutrading.ae or +971 50 486 5006.

2. What we collect

Details you type into our forms. When you send a quotation request, an order request or a container pre-booking, we receive:

your name, company name, phone or WhatsApp number and email address;
your company's VAT TRN, if you choose to give it;
your requirement: products, specifications, sizes, quantities, number of containers, origin, delivery location, preferred date and any notes you add.

Quotation and payment details. If you accept a quotation online, we record the name you type and the date and time you accepted. If you send payment information, we store the amount, payment method, transaction reference, payment date and any receipt file you upload.

Sales contracts. When we prepare a sales contract for you, it contains your name, company, address, VAT TRN (if you are registered), email and phone. If you sign it online, we record the name and position you type, your drawn signature, the date and time, and the IP address you signed from, so that the signature can be verified later. If you sign on paper and send it back, we keep your signed copy.

Messages. We keep the emails we send you about your enquiry, quotation, payment or booking, with their delivery status. If you call, email or WhatsApp us, we keep what is needed to handle your request.

Technical information. To stop spam and repeated automated submissions, our server records your IP address and the time when you submit a form. This record is deleted automatically within about an hour and is not saved with your request. Our hosting provider may keep standard technical logs, such as IP address, browser type and the pages requested, for security and troubleshooting.

3. How we use your details

To reply to your enquiry and prepare, send and revise quotations.
To process your order or container booking, arrange supply and delivery, and keep you updated by email, phone or WhatsApp.
To check and record payments against our bank records.
To issue tax invoices and keep the accounting, VAT and commercial records we are required to keep by law.
To keep the website and our records secure and prevent misuse.

We do not sell your details, and we do not use them for marketing unrelated to your enquiry.

4. Who can see your details

Our staff, through a password-protected admin system. Some actions, such as sending quotations, verifying payments and confirming bookings, are limited to authorised administrators.
Service providers who run the website and send our emails for us, only as needed to provide that service.
Suppliers and transport partners, only the details needed to supply and deliver your order, such as the delivery location and a site contact.
Authorities, where we are required to by law.

Your quotation, contract and request pages use private links that only you receive. Please do not share them. Payment receipts, signatures and signed contract copies can only be opened by our signed-in staff.

5. Cookies and third-party services

Our public website does not use advertising cookies. The admin system uses one essential sign-in cookie for our staff only.

Google Fonts. Our pages load their fonts from Google, so your browser connects to Google's servers when you visit.
Google Analytics. When analytics is switched on, Google Analytics sets cookies to count page visits and clicks on our call and WhatsApp buttons. It does not receive what you type into our forms. You can block these cookies in your browser settings.
WhatsApp. If you choose to message us on WhatsApp, that conversation is also covered by WhatsApp's own terms and privacy policy.

These providers may process data outside the UAE under their own privacy policies.

6. How we protect your details

Access to customer records is limited to our staff through individual accounts with hashed passwords. Quotation and request links are long, random and private to you. Uploaded payment receipts are stored outside the public website and are never shown on public pages.

7. How long we keep your details

We keep enquiries, quotations, contracts, bookings and payment records for as long as needed to serve you, and for the period UAE law requires for business, accounting and tax records. Issued quotations, contracts and payment records cannot be deleted while we are required to keep them.

8. Your choices and rights

You can ask us to:

tell you what details we hold about you and give you a copy;
correct details that are wrong or out of date;
delete your details, unless we must keep them by law;
stop using your details for a purpose you object to.

9. Children

This website is for businesses and adults buying building materials. It is not intended for children, and we do not knowingly collect children's details.

10. Changes to this policy

We may update this policy when our website or services change. The date at the top shows when it was last updated.
